Employee Leave Management System
Client·A leading Taiwanese security company and a healthcare-related organization

“Where is my leave request?” “How much leave do I have left?” “How do I carry over unused leave?”
As a company grows, answering these apparently simple questions can involve finding forms, checking records, and asking approvers. A missing field or supporting document means another return for correction, adding work for both applicants and administrators.
We developed leave systems for a security company and a healthcare-related organization. This case focuses on the security company’s more complex requirements and how balances, forms, approvals, and scheduling data were connected to simplify everyday leave administration.
Help employees understand their balances
One common difficulty with paper leave management is that applications and balances are kept separately. Employees may not know how much leave they have used, while administrators repeatedly reconcile records.
The system calculates balances automatically and shows used and remaining leave so employees can plan and apply. Staff no longer need to rely solely on searching paper forms, and fewer inquiries are needed to confirm availability.
In this project, employees can also request that unused leave be carried into the next annual cycle. Carryover requests do not require a separate approval process; the system settles balances automatically on each employment anniversary, matching the customer’s anniversary-based approach.
Different leave types need different information
A leave form involves more than transferring paper fields onto a webpage. Different leave types may require different details or evidence. Discovering omissions only during managerial review creates avoidable returns and delays.
Leave-type settings let administrators define mandatory fields and attachments. The system checks completeness when employees apply, putting requirements that once needed manual reminders into the form process.
The responsive web interface works through computer or phone browsers, so employees can apply in their current working environment without installing an app.
Use existing workflows and make progress visible
Approvals in a large organization may involve more than an immediate supervisor. Leave type and duration can determine whether a request must reach additional management levels.
The project connects to the customer’s existing workflow engine, whose configuration determines recipients and approval levels. The leave system handles application data and related operations, while routing follows the customer’s established workflow-management mechanism.
Employees can see which manager currently has the request. If it is returned, they can read the reason and correct or supplement the information. Progress that previously required individual inquiries now has a clear place to check.
Send leave to scheduling and handle cancellations formally
For a security company, leave affects staffing at customer sites. The system sends leave data to the scheduling system for duty planning, reducing separate communication and repeated consolidation.
To cancel previously requested leave, employees create a separate cancellation request with its own approval workflow. Leave and cancellation each have a document and process, so changes follow established procedures rather than deleting the original application.
Build easily missed details into everyday work
The system supports more than submitting an online form. It covers checking balances, applying, tracking approvals, and subsequently canceling leave.
Employees gain clearer balances and progress. Administrators benefit from centralized requests, requirements configured by leave type, and connections to workflow and scheduling systems, reducing paper searches, missing-information follow-ups, and manual reconciliation.
Starting with the customer’s existing management practices, we connected work previously divided across paper, balance records, and systems so leave administration retains clear information and procedures as staff numbers grow.
