Outsourcing and Manufacturing Work Order Management System
Client·A metalworking equipment manufacturer

A machine requires many components, and each may pass through several processing stages. When work orders are spread across subcontractors, knowing whether the finished machine will be ready on time starts with knowing the status of each step.
The customer faced numerous work orders and suppliers, with progress checked through individual inquiries. Sometimes a missing component was discovered close to the due date, forcing pickup and production arrangements to be coordinated again.
We developed an outsourcing and manufacturing work order management system for a metalworking equipment manufacturer. It brings stage-level progress and deadlines onto a common platform, with a daily overview and field app to help internal staff identify what needs attention.
Break a work order into visible processing stages
Knowing that a work order is “not finished” is not enough to identify whom to contact or what to do next. A component may still be in processing or may be ready for pickup. Without that detail, managers must keep asking.
The system manages each work-order step separately, recording responsibility, stage, planned date, and overdue status. Progress that previously had to be assembled from multiple inquiries now has a common reference.
Managers can identify the steps needing confirmation and focus coordination on actual issues, reducing the searches and questions required to understand the overall picture.
Start each day with the work that needs attention
Centralized information still needs to tell people what to do today. A dashboard brings together items ready for pickup today, work due today, and other daily priorities.
Staff no longer need to search large numbers of work orders to rebuild the day’s task list. Managers can review due and overdue work together and coordinate priorities.
Bringing deadlines into daily planning helps staff notice stages that could affect subsequent production, reducing the risk of discovering problems only near delivery time.
Give field pickups an appropriate tool
Outsourced production management extends to collecting completed components. Internal staff visit subcontractors to bring parts back so the next stages can proceed.
We developed a companion app for those field tasks, extending the system beyond the office.
The entire system is operated by the customer’s own staff; subcontractors do not log in. This matches existing responsibilities and focuses improvement on internal visibility and handoffs, including field pickups in the overall process.
Move from last-minute inquiries to everyday visibility
Seeing stage progress, planned dates, and overdue status together helps managers identify work requiring attention. The dashboard organizes the day’s important items to support pickups and subsequent coordination.
Software cannot perform the subcontractor’s processing, but it can reveal problems earlier and leave more room to coordinate and adjust. For a manufacturer dependent on connected processing stages, that daily visibility is an important basis for managing delivery dates.
Spend management time on coordination and problem-solving
The core value is visible progress, clear daily work, and a shared reference for field pickups and internal management.
Breaking orders into stages reduces gaps in status information. Bringing daily pickups and due items together reduces manual searching. The field app fits the way work is actually carried out.
We helped organize information scattered across work orders and processing stages so managers can focus on coordinating progress and resolving delivery issues instead of repeatedly asking where the same batch of components has reached.
